Privacy Policy

This Privacy Policy explains how KMI Connect handles your data. The app serves two audiences: members of the public who use the consumer Room Decorator to browse and visualize KMI decor papers, and KMI staff who use internal operational workflows (attendance, sales orders, DMS routes, production, dashboards). The two experiences are kept separate inside the app and each only collects what it needs.

Who This Applies To

The app has two distinct experiences, gated by a "user type" you pick on first launch:

  • Customer (consumer) — anyone who wants to browse KMI's decor paper catalog and visualize designs in their own room. Account creation is optional; most of the catalog and the Room Decorator can be used without signing in.
  • KMI Team Member (staff) — KMI employees signing in with company-issued credentials to access attendance, DMS, sales, production, and dashboard workflows.

Information We Process — Customer Side

If you create a customer account or send an inquiry: your name, email address, optional phone number and city, and any message text you type. If you sign in with Apple, we receive a stable Apple user identifier (so we can recognise you on later sign-ins) and, on the first sign-in only, your name and email — these may be Apple's private-relay email if you choose. We also store a per-device identifier and an authentication token so you stay signed in without re-entering your password.

Information We Process — KMI Staff Side

Sign-in credentials, profile information, user role and permissions, company unit/site/department information, device session tokens, attendance records, operational workflow entries, DMS activity, sales/order records, production records, finance and purchase dashboard summaries, and related ERP-connected business records.

Camera Access

The app uses your device camera for two unrelated purposes, only when you explicitly trigger them:

  • Customer side: to take a photo of a wall in your home for the Room Decorator. The photo stays on your device — we never upload it to our servers unless you choose to attach it to an inquiry.
  • Staff side: to capture attendance selfies during check-in / check-out, which are uploaded to KMI servers for attendance verification.

Photo Library Access

The app may ask permission to:

  • Read from your photo library so you can pick a room photo for the decorator (customer), or attach a business image such as a handwritten order sheet (staff).
  • Write to your photo library so you can save your decorator preview to Photos when you tap "Save". This only happens after you explicitly tap Save — the app never writes to your library on its own.

Room photos you pick for the decorator stay on your device and are not transmitted to KMI servers unless you attach them to an inquiry.

Location Data — Staff Only

Location and background location features are used only by KMI staff who sign in with company credentials and check in for a duty session. Customer users are never asked for location. While a staff user is checked in, the app records location coordinates for attendance verification, field-duty route tracking, customer visits, and geofence events. Background location stops after check-out.

Sign in with Apple

On iOS, customers can sign in with Apple. Apple gives the app a stable per-app user identifier (used to recognise you on later sign-ins), an identity token (verified server-side), and — only on the very first sign-in — optionally your email and name. If you choose Apple's private email relay, your real email is never shared with KMI; the relay address is what we store.

Embedded Portal Dashboards — Staff Only

KMI staff may see role-based portal dashboards inside secure in-app WebView screens, including purchase, sales, production, finance, and other authorized modules. These dashboards use the current authenticated session and operational data from KMI systems. Customer-side users never see these screens.

Offline Storage and Sync — Staff Only

For staff using DMS and attendance, when the device is offline or the network is unstable, attendance, selfie paths, location points, geofence events, and sync status may be stored locally and synced to KMI servers when connectivity returns.

Notifications and Background Services

For staff users only, the app may use notifications and background services to keep active duty tracking running, remind users about attendance state, recover pending sync, and support operational reliability while checked in. Customer users do not receive these background notifications.

How Data Is Used

Customer side: to authenticate your account, save designs you favourite, route inquiries to KMI sales, and remember your decorator session.

Staff side: to authenticate users, link submissions to the correct unit and site, validate attendance and operational entries, support reporting, prevent duplicate submissions, diagnose sync issues, and maintain internal business, audit, and compliance records.

Sharing and Access

Data is shared only with KMI systems, authorized company administrators, managers, operational staff with role-based access (staff side), the KMI sales team (customer inquiries), and technical service providers involved in operating the platform. KMI does not sell personal information collected through the app.

Retention and Security

Customer account data is retained while your account is active; if you delete your account in-app, your profile is deactivated and personally identifying details are anonymized (subject to a short audit window). Staff operational records (attendance, location, selfies, production data) may be retained for audit, employment, payroll, and legal compliance. KMI uses authenticated sessions, role-based access controls, and secure backend services to protect data.

Account Deletion

Customers: open the app → sign in → Profile → "Delete my account". Your account is deactivated immediately, your saved designs and inquiries are anonymized, and all your device tokens are revoked. No email round-trip is required.

Staff: contact KMI HR or email support@kmigroup.online. Some operational records may be retained where required for audit, payroll, attendance, legal, or business compliance obligations.

Children

KMI Connect is not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided information through the app, please contact us so we can remove it.
